TIMPERLEY PARISH ROOM and CLUB - PRIVACY NOTICE
This privacy notice explains how personal data is collected and used by Timperley Parish Room and Club (Timperley Village Club). It also explains how we process any data that you supply to us. Our aim is to respect your privacy and comply with the EU General Data Protection Regulation (GDPR) and Data Protection Act 2018.
The Data Controller
Timperley Parish Room and Club is the Data Controller for any personal data you provide to us. Our full details are: Timperley Parish Room and Club, 268 Stockport Road, Timperley, Altrincham, WA15 7UT.
What Personal Data We Collect and What We Do with It
We routinely collect members’ names, addresses, email addresses, telephone numbers, dates of birth, BCGBA and CCBA membership numbers, also any specific information you agree to share with us. All data is held in strict confidence and we endeavour to prevent unauthorised access or disclosure. We use members’ data for the administration of your membership, to maintain our own records and accounts, the communication of information, and the organisation of events. Also, to enable us to carry out comprehensive safeguarding procedures (including due diligence and complaints handling) in accordance with best safeguarding practice. If you are a member of any of the Club’s bowls teams, your name and that of the Club is used when scoring and displaying your results on the various leagues websites.
Our legal basis under GDPR is Article 6(1)(a) – you have given clear consent for us to process your personal data for a specific purpose. You can withdraw your consent at any time; however, this will affect your Club membership.
Protecting Your Personal Data
We are committed to ensuring that your personal data is secure. In order to prevent unauthorised access or disclosure, we have put in place appropriate technical, physical and managerial procedures to safeguard and secure the information we collect from you.
Third Parties
Your personal data will be treated as strictly confidential. It will only be shared with third parties where necessary for the performance of our tasks and to facilitate the running of the Club or where you first gave us your prior consent.
Bowls Members
It is likely we will need to share your data with some or all of the following: League, County and BCGBA. Information from your match results is passed on to the League Secretaries and the League website administrator. Members who take on the role of Bowls Committee Secretary, Team Captains and Vice Captains, and those appointed to League Committees may have their names and contact details published in the various League Fixtures booklets.
Non-Bowls Members
Your data will only be shared where necessary to facilitate the running of the Club.
Your Rights
You are in complete control. You can object or withdraw your consent to the use of your personal data at anytime.
Subject to some legal exceptions, you have the right to:

Data Storage and Removal
Your data will only be stored for as long as you are a member; once your membership ceases all data we hold for you will be deleted within six months.
Your Data Abroad
We do not transfer or process data outside the European Economic Area unless we have your specific consent or where the nature of the processing requires it (for example, because you have chosen to use an email or other communications service which routes data outside the EEA).
Timperley Village Hall - Room Hire – Terms and Conditions
1. Booking
Bookings are confirmed only when the booking has been accepted and any required payment or deposit has been received.
Timperley Village Hall reserves the right to refuse or cancel a booking if the intended use is considered unsuitable.
2. Payment
Bookings are invoiced at the end of each calendar month and there must be paid with 30 days of the date of invoice
A refundable damage deposit may be required for certain bookings.
3. Cancellation
If the hirer cancels a booking unless at short notice we reserve the right to ask for full payments of thee anount due.
4. Use of the Hall
The premises may only be used for the purpose stated on the booking.
The hirer is responsible for the behaviour of all guests and must ensure that activities do not cause nuisance to neighbours or other hall users.
Illegal activities are strictly prohibited.
5. Capacity
The hirer must not exceed the maximum capacity for the room being used.
6. Health and Safety
Fire exits must be kept clear at all times.
The hirer must familiarise themselves with the fire evacuation procedure displayed in the hall and ensure guests follow it if required.
7. Cleaning and Damage
The hirer must leave the hall clean and tidy.
All rubbish must be removed unless into provided waste bins.
Any damage or breakages must be reported and may be charged to the hirer.
8. Furniture and Equipment
Tables, chairs, and equipment must be returned to their original positions.
Nothing may be attached to walls, ceilings, or fittings without prior permission.
9. Alcohol
Alcohol may only be consumed with prior permission and in accordance with licensing regulations.
10. Noise
Noise and music must be kept at a reasonable level and must stop at the agreed finishing time.
Guests must leave quietly out of consideration for local residents.
11. Liability
The hirer is responsible for the safety of all persons attending the event.
Timperley Village Hall accepts no responsibility for loss or damage to personal property.
For some events, the hirer may be required to provide public liability insurance
12. Booking Times
The hall must be vacated promptly at the end of the booking period.
13. Acceptance
By making a booking, the hirer agrees to these Terms and Conditions.
Failure to comply may result in termination of the hire and refusal of future bookings.
